Information We Collect

1. Account Information

  • Name and email address when you sign up using Google or via email/password.

2. Meeting & Document Data

  • Audio recordings you upload or record.
  • Transcripts, summaries, tasks, and documents generated by our AI models.

3. Third-Party Integrations

  • OAuth tokens and metadata for Google Drive and Trello, accessed only with your explicit permission.

4. Usage & Device Data

  • Device IDs, IP address, browser type, pages visited, and session timestamps.

5. Cookies & Tracking Technologies

  • Session cookies, preference cookies, and analytics cookies to maintain core functionality and improve performance.

How We Use Your Information

  • To power key features like transcription, summarization, task extraction, and document generation.
  • To authenticate and protect your account.
  • To enhance the platform, debug issues, and introduce new features.
  • To communicate with you via transactional emails and customer support.

How We Protect Your Data

  • Data encryption at rest and in transit (TLS/HTTPS).
  • Strict access control to databases and application infrastructure.
  • Secure hosting using AWS and GCP cloud infrastructure.
  • Whisper transcription runs locally on our GPU instances, minimizing external exposure.
  • Sensitive and private data is encrypted using industry standards.

Third-Party Integrations

Google Drive

BriefCounsel integrates with Google APIs to provide document-based features. We only access files you explicitly select for summarization or analysis.

  • We do not use your Google data to train our general AI models.
  • Access is limited to files and scopes you authorize.
  • Data is retained temporarily for service delivery and deleted afterwards or upon request.

You may revoke access anytime at your Google account permissions page.

AI Service Providers

To provide intelligent summarization, task extraction, and document drafting, BriefCounsel may utilize external APIs such as:

  • OpenAI (e.g., GPT models)
  • Google Gemini API
  • AWS Bedrock (for scalable inference)

Your data may be temporarily processed by these services during specific actions you initiate, such as generating summaries or responses. We do not use your data to train these third-party models, and all interactions are secured via encrypted API calls. Sensitive meeting content is only transmitted when required and is not retained by these providers after processing.

We select partners that comply with high data protection standards and use encrypted, stateless processing by default.

Trello

Trello integration is used to allow automatic task creation and organization:

  • Only boards and cards you explicitly permit are accessed.
  • Trello data is never shared, sold, or accessed outside of the features you choose to enable.
  • You can revoke Trello access at any time via your Trello account settings.

Data Storage & Retention

  • Data is stored in encrypted databases hosted on AWS and GCP.
  • Meeting content and generated documents are stored only as long as necessary to provide services.
  • You can delete your data at any time using the in-app "Delete My Account" feature or by contacting support.

Security Practices

  • SSL/HTTPS for all communications.
  • Role-based access controls.
  • Regular audits and monitoring of infrastructure.
  • Human access is highly restricted and fully logged.

Compliance

By using BriefCounsel and connecting your Google or Trello accounts, you consent to data usage in line with:
